What this journey achieves

A school sends children away only with the right permission. This journey follows a trip from the teacher's proposal to the bus leaving with a list of who is on it, and shows how consent, medical information and printed lists come together.

A teacher proposes the trip. The principal or an executive decides it. The office asks families for consent, chases the answers and prints the lists. Parents answer in the portal. The teacher in charge and the nurse read the camp pack before the bus leaves.

The steps in order

  1. Teacher

Choose "Propose a trip". Choose the kind (excursion, incursion, camp or tour), name it, give the venue, when it departs and returns, who it is for and what it costs, then send it.

  2. Principal and executive

Open the trip, choose "Record a decision" and then "Approve" or "Decline". A reason is recorded with the decision.

  3. Front office

On the approved trip, choose "Ask families" and set "Answers due by". The page then shows "Consent asked".

  4. Families

The parent opens the child's page in the portal. The trip is under "Needs your answer", with "Yes" and "No" for the child. A "No" can have a reason, and a parent who said no can choose "Change to yes". A "Withdraw" button takes back an answer.

  5. Front office

Open the consent request and read "Still to answer". For an answer given by phone, choose "Record an answer for" the child, say "Who gave it", "How it was given" and "What they said", and choose "Record answer". "Print" prints who is outstanding.

  6. Front office

On the trip's page, under "Who's invited", choose "Print the missing-consent list". When the bus leaves, choose "Mark as departed and save the list" so the school keeps who was on the trip. The page then offers "Print the bus list".

Open the "Medical pack" from the trip's page and choose "Print the pack". It is named for the kind of trip, so a camp's is the Camp pack. It lists the students on the trip with their medical information and any medical-treatment consent a parent has given.
